Bundle bin

A part of the back office workflow is the socalled bundle bin. 


A number of documents that are uploaded (with extension JPG, GIF or PNG, so no PDF) will first end up in the bundle bin. These documents need to be checked well to decide if they have to be bundled before they are placed in the workflow from which they will be processed by the back office.


In order to start with bundling the documents click on the Back office icon inthe navigation bar and then click on Bundle bin in the now-opened screen.



In the bundle bin you have to look for documents that are uploaded as multiple separate pages for example an invoice that consists of two pages which are uploaded as two separate pages. This is not always that obvious. Pay special attention to:

  • two pages of the same supplier where the total amount is stated on one page but not on the other
  • attachments that go along with an invoice 
  • indications like 'Page 1/2', '2/2' etc.



In this screen you can use the following buttons and/or dropdown menus:

  1. Place all (bundled) documents in the worfklow for processing.
  2. Store the selected documents in a folder.
  3. Bundle the selected documents into one document (file).
  4. Delete the selected documents.
  5. Change the screen view: Batches, Document(s) of Pages.
  6. List view (details) of documents.
  7. View the documents as thumbnails (see screenshot above).
  8. Select the size of the thumbnails in your screen: Default, Small, Large or Extra Large.
  9. Sort the documents on Date or Name.


Below each document in the bundle bin the following icons are shown:



Edit, delete or rotate the document to the left or right.

 

Did you find two pages that belong together then you can bundle them in two ways:

  • by dragging page 2 with your mouse to page 1. Thus page 2 is stored under page 1 and the two documents are bundled into one document.
  • by selecting the pages that belong together (door de pagina's die bij elkaar horen te selecteren (check in checkbox) and then click the Bundle selected documents into one document (file).


Bundled documents are recognizable by the symbol in the upper left of the bundled document (for example '2').



Once documents are bundled you can unlink them by clicking on the scissors below the  bundled document.


Have you checked all documents well and bundled or deleted them as necessary, then place the documents in the 'Document(s)' workflow by clicking on the Mark all documents as processed button in the upper left of the bundle bin. 

You will automatically end up in the workflow from where you can process the documents.
