Bank processing rule (and matches) (Beta)

All screenshots in the article were taken in the Dutch version of Yuki.


The criteria of a bank processing rule and subrule that a bank transaction must meet to be automatically categorized and, if applicable, split can be changed at any time.


In addition, you can check which bank transactions have been recognized based on the criteria.


Only a user with a ‘Back Office’ role in the domain can view, modify and/or delete a bank processing rule (and matches).


From this screen a user can:

  • view bank processing rule and/or subrule
  • view matches of bank processing rule
  • change bank processing rule and/or subrule
  • delete bank processing rule and/or subrule.


ATTENTION!

When a new bank processing rule is created or an existing bank processing rule is changed, all open bank transactions are reprocessed according to this new/changed rule with the exception of open transactions that are in a closed financial year.


Hover your mouse over the Bank icon in the navigation bar and then click on Bank processing rules.


The following screen is opened:



Hover your mouse over the line of the corresponding bank processing rule, click on the button with the three dots, and then select View bank processing rule from the dropdown menu.




View bank processing rule and/or subrule

To view the details of the bank processing rule and/or subrule, click on General at the top of the screen.


The following screen is opened:



This tab shows the following information:

  • the criteria that a bank transaction must meet to be automatically categorized
  • the GL account and contact to which the bank transaction should be posted
  • comments that are recorded with the bank processing rule
  • the criteria of the subrule that a bank transaction must meet to be automatically split.

View matches of bank processing rule

To view all transactions that meet the criteria of the bank processing rule, click on Matches at the top of the screen.


The following screen is opened:



Here you can see all bank transactions that meet the criteria of the bank processing rule and were then automatically categorized and processed.


ATTENTION!

When the processing method in automatic categorization is set to ‘Manual’, the BO status here is set to ‘Open’.


Change bank processing rule and/or subrule

To change a bank processing rule and/or subrule, click on the Edit button at the top right of the screen.


The following screen is opened:



Change the relevant details of the bank processing rule and/or subrule. Then click on the Preview matches button to test whether the bank processing rule or subrule is correctly defined.


Then click on the Save button.


All open bank transactions are reprocessed according to this changed bank processing rule and/or subrule.


Delete bank processing rule and/or subrule

To delete a bank processing rule and/or subrule, click on the Delete button at the top right of the screen.


The following message will appear in your screen:



Click on the Delete button to actually delete the bank processing rule including the subrule.


The following message will appear on your screen:



ATTENTION!

To delete only the subrule, click on the Edit button at the top of the screen.


In the now-opened screen, click on the button with the three dots at the end of the relevant subrule and then select Delete from the dropdown menu.



All bank transactions that meet the criteria of the main processing rule will not be split as of this time.
