Disclaimer
All screenshots in the article were taken in the Dutch version of Yuki.
Depending on the user role and the possible security of a (sub)folder, in an opened (sub)folder one or more documents can be viewed, moved to another (sub)folder, downloaded or deleted.
Only a user with the 'Back office' role in the domain can delete one or more financial (bookkeeping) documents from the Archive.
From this screen, any user can:
- view a document
- view a contact
- move a document
- move documents in folder 'To be handled by Yuki' or'To be filed by me' in bulk
- download a document
- delete a document
- delete documents in folder 'To be handled by Yuki' or 'To be filed by me' in bulk.
ATTENTION!
When you delete a document in Yuki, it ends up in the so-called recycle bin. All documents can be retrieved from the recycle bin. However, this does not apply to deleted SEPA files and entries created automatically by Yuki.

Hover your mouse over the Archive icon in the navigation bar and then click on File cabinet.
In the now-opened screen, open the folder or subfolder in which the documents in question are located.
For example, the following screen is opened:
View document
To view a document:
- double-click on the document in question
OR hover your mouse over the line of the document in question, click on the button with the three dots, and then select the View document menu option from the drop-down menu.
In the now-opened screen, the document can be changed, if necessary, or actions can be performed to the document.
View contact
To view the contact of a document, hover your mouse over the line of that document, click on the button with the three dots, and then select the View contact menu option from the drop-down menu.
The contact card of the corresponding contact is now opened.
Move document
To move a document to another (sub)folder, hover your mouse over the line of the document in question, click on the button with the three dots, and then select the Move menu option from the drop-down menu.
The following screen is opened:
Select the (sub)folder to which you want to move the document, then click on the Move button.
The document is moved to the appropriate (sub)folder.
Move documents in 'To be handled by Yuki' or 'To be filed by me' folder in bulk
You can move documents in the 'To be handled by Yuki' or 'To be fiuled by me' folder in bulk to another (sub)folder by selecting all the documents you want to move and then click on Move at the top of the screen.
The following screen is opened:
Select the (sub)folder to which you want to move the documents and then click on the Move button.
The documents are moved to the appropriate (sub)folder.
Download document
To download a document, hover your mouse over the line of that document, click on the button with the three dots, and then select the Download menu option from the drop-down menu.
The document is now downloaded to the hard disk of your laptop or computer.
Delete document
To delete a document, hover your mouse over the line of that document, click on the button with the three dots, and then select the Delete menu option from the drop-down menu.
ATTENTION!
Only a user with the 'Back office' role in the domain can delete financial documents.
The following screen is opened:
When an bookkeeping document is deleted, it is mandatory to enter a reason for the deletion. This reason can be found in the 'Reason' column in the Recycle bin (Deleted documents).
Click on the Delete button to actually delete the document.
Delete documents in 'To be handled by Yuki' or 'To be filed my me' folder in bulk
You can delete documents in the To be handled by Yuki' or 'To be filed by me' folder in bulk by selecting all the documents you want to delete and then click on Delete at the top of the screen.
The following screen is opened:
The reason you enter here for the deletion applies to all these bulk deleted bookkeeping documents.
Click on the OK button to actually delete the documents.
