Work with placeholders in email when sending invoices

Placeholders are special references to invoice or customer data that can be used in the subject and/or text of the email that you can set up in your invoice layouts.  Such a placeholder is always in square brackets. An example: [InvoiceNumber] refers to the invoice number and [Contact] to the customer's name. In the email used to send the sales invoice, the placeholder is replaced by the data it refers to.


Placeholders in subject or text of email 


  • [Contact]: full name of customer
  • [ContactBankAccount]: the default bank account number of the customer (for example for direct debit)
  • [Heading]: for example: Dear John
  • [InvoiceDate]: invoice date
  • [InvoiceProject]: the project to which the invoice has been linked
  • [IssuerCompany]: the name of your company from which the invoice was sent
  • [IssuerCompanyCity]: the place from which the invoice was sent
  • [IssuerCompanyBankAccount]: the default bank account number of your company
  • [Number]: invoice number
  • [PaymentDaysSetting]: default payment period
  • [DueDate]: due date of the invoice
  • [Subject]: subject of the invoice
  • [TotalAmount]: total amount of the invoice (to be paid)
  • [TotalAmountFC]: total amount of the invoice (to be paid) in foreign currency
  • [Currency]: foreign currency
  • [PublicLink]: link that allows the customer to pay the invoice online if you use Mollie.


TIPS!

  • The [TotalAmountFC] and [Currency] placeholders can be used to specify foreign currency in the email used to send the sales invoice.
  • The value of the placeholder [Heading] is automatically retrieved from the Heading field on the Extra tab of the customer's contact card.

    Salutation person

    If a value only has been entered in the Last name field (eg 'Jansen'), then the following value is automatically entered in the 'Heading' field: 'Dear Mr/Mrs Jansen'.


    If, in addition, a value is also selected in the Gender field (e.g. 'Female'), the following value is automatically entered in the 'Heading' field: 'Dear Ms Jansen'.


    However, as soon as a value is entered in the First Name field (e.g. 'Jans'), the value 'Dear Jans' is automatically entered in the 'Heading' field.


    Salutation company

    The value in the 'Heading' field is always 'Dear Sir/Madam'.
